We measure how effectively AI is applied to deliver results, and consistent, creative use of the latest AI capabilities is key to success here. Candidates should be comfortable adopting new models and modes quickly, integrating AI into their workflows, and continuously pushing the boundaries of what these technologies can do.
Additionally, we move at the pace of AI. Change is rapid, and you can expect your day-to-day work to evolve just as quickly. This may not be the right role if you’re not excited to experiment, adapt, think on your feet, and learn constantly, or if you’re seeking something highly prescriptive with a traditional 9-to-5.
Team Overview
You'd be the right hand to our CMO and a force multiplier for the marketing leadership team. Marketing owns how the world discovers what Deepgram can do, and the CMO's time and focus are among the highest-leverage resources we have. Your job is to protect that leverage: keep the operation running cleanly enough that leadership stays heads-down on the work that moves the business, and connect the dots across teams so the right things meet at the right time.
Key Goals
Protect and optimize the CMO's calendar — partner with them to set and re-sequence priorities as the picture shifts, so their time lands on strategic work rather than reactive fire drills
Run the marketing leadership operating cadence (staff meetings, QBRs, offsites, planning cycles) and coordinate with adjacent teams — RevOps, Comms, People — so cross-functional work lands without the CMO having to chase it
Build Human+AI workflows for scheduling, inbox triage, and meeting prep that cut recurring admin turnaround by [X]%
Spot recurring friction in how leadership operates and ship [1–2] fixes a quarter — a template, a cadence, an automation — instead of absorbing the same problem every week
Own complex travel and logistics with zero missed connections, and close expenses same-day
Keep confidential and sensitive matters secure, handling delicate information with total discretion
Minimum Skills, Knowledge & Capabilities
Operates AI-native — designs Human+AI workflows for scheduling, drafting, and meeting prep rather than doing every task by hand
Builds lightweight systems that eliminate recurring admin work instead of re-solving it each week
Identifies problems in how the office runs and proposes practical solutions within the function
Coordinates across teams and programs, not just within a single leader's calendar
Exercises sound judgment and discretion with confidential and sensitive information
Juggles competing priorities across time zones and calendars without dropping details
Communicates clearly and professionally with senior stakeholders, internal and external
Anticipates needs and resolves problems before they reach the CMO's desk
Preferred Qualifications (nice-to-have, not required)
Typically ~1–3 years supporting leaders or coordinating across teams, or equivalent demonstrated experience
Prior experience supporting a senior leader or executive, [in a fast-moving startup or high-growth tech environment]
Hands-on with modern AI tools for drafting, summarizing, and automating repetitive work
Familiarity with common exec-support tooling — [calendar, travel, expense, and comms platforms]
