Responsibilities

Employee Support & Onboarding:

  • Facilitate employee connectivity and provide necessary resources.
  • Assist with onboarding new hires, including office induction and new hire kit distribution.
  • Design or review the onboarding packages for expats, ensuring they include crucial information such as the cost of living in Hong Kong, details about the office vicinity, and guidance on renting an apartment and more.
  • Manage employee recognition programs, including anniversary, farewell, and birthday celebrations.
  • Collaborate with other office admins on wellness, employee engagement activities and regional/local initiatives.
  • Manage internal employee wellness calendar to ensure its up to date and relevant

People & Culture Support:

  • Support the Employee Experience Team Lead in planning, developing, coordinating, and implementing resort-wide Employee Engagement events and programs that align with the company’s engagement strategies and business priorities.
  • Support People & Culture projects related to office spaces and hybrid work.
  • Create and develop high-quality, creative materials and content for Employee Engagement initiatives.
  • Manage the Employee Engagement Event Calendar to ensure all planned events remain on track and are delivered according to the agreed timeline.
  • Provide additional administrative support and coordination for the Employee Engagement team lead as required.

Event Planning & Execution:

  • Plan and execute a variety of employee events, including happy hours, holiday parties, in-office, off-site, team buildings, festive parties & annual dinner etc.
  • Manage event budget, vendor relationships, and invoice reconciliation.
  • Manage ad-hoc catering for training and events.
  • Manage venue bookings, setup, and AV support for events.
  • Coordinate with vendors/suppliers for events
  • Provide logistical support for events and programs, including but not limited to promotion, enrollment, and registration.
  • May require working on a holiday and after office hours for event execution.

Office Renovation Projects Support:

  • Assist in planning and executing the office renovation project, including scheduling meetings with contractors, vendors, and team members.
  • To maintain accurate records of project plans, budgets, and timelines, ensuring all documentation is organized and accessible.
  • Serve as a point of contact for all project-related inquiries, facilitating effective communication between the company & all contractors
  • Assist in tracking renovation expenses and coordinating vendor payments while adhering to budget constraints.
  • Help coordinate logistics related to the renovation, including furniture procurement, space planning, and resource allocation.
  • Assist in setting up and organizing the office space post-renovation, ensuring a smooth transition for all staff.

Lastly, assist with ad hoc projects as assigned.

MUST HAVE

  • Bachelor's degree or higher
  • 1-3 years of experience in planning and organizing mid to large-scale employee engagement events
  • Fluent in spoken English and Cantonese
  • Highly organized, detail oriented, self-motivated with a strong sense of responsibility
  • Good team player with a positive attitude and eager to learn and grow
