We are looking for high caliber individuals for the role of Office Administrator at our Hong Kong office. The ideal candidate will be responsible for the day-to-day operational and administrative duties. Please note there are no WFH available for this position.
Your responsibilities include:
Office Operations & Facilities
- Manage daily operational procedures across office floors, including general maintenance, office logistics, supplies, and inventory
- Coordinate with building management inspections, maintenance schedules, and facility compliance
- Handle ad-hoc facility issues such as repairs, inspections, and vendor follow-up
Vendor & Contract Management
- Manage contract and price negotiations with vendors and service providers
- Monitor vendor performance and handle issue escalation (e.g., food safety, service quality disputes)
- Source and evaluate new vendors to ensure quality, reliability, and cost-effectiveness
Staff Support, Onboarding & Events
- Coordinate office events, such as happy hour, staff competitions etc
- Support tournament logistics
- Handle welcome pack set-up for new hires and work closely with HR staff to facilitate onboarding
Front Desk & Communication
- Handle incoming and outgoing mails and packages, manage the office reception area, and greet guests
- Act as a point of contact for staff feedback on office operations, escalating appropriately and following up on resolutions
General Administration
- Perform other administrative support duties as required

- Ability to handle operational issues independently and escalate when needed
Vendor management
- Experience negotiating contracts and managing service quality
Multi-tasking
- Comfortable managing multiple priorities across different floors and stakeholders
Communication
- Clear and professional in both English and Cantonese, able to handle staff feedback diplomatically
Other requirements:
- Fluent in English and Cantonese
- 2-4 years of experience in general office administration duties in a sizeable company
- Detail-oriented, good problem solving skills and constructive communication skills
- Able to work independently
- Knowledge of general business software (MS Office) and enthusiasm to learn new applications
- Right to work in Hong Kong
- A bachelor degree or equivalent
- Immediate availability
