As Vida’s HR Assistant you will be part of a small, yet fast-paced team that supports 500+ employees. You will report to the Director of People Operations and work alongside other Department Leaders.

Responsibilities:

  • Open, sort, triage and distribute all incoming HR-related mail.
  • Prepare outgoing mail such as entity mail, checks to states and more.
  • Execute the administrative checklist for new hires; including collecting, verifying and filing essential documents (I-9s, W-4s, offer paperwork).
  • Maintain digital employee files; ensuring folders are up to date with most current offer letters, personnel action notices, performance management forms, etc.
  • Manage the administrative checklist for exiting employees; including final paycheck coordination, benefits termination notices and systems access termination communication.
  • Perform basic data entry, auditing and reporting in Vida’s HRIS System (ADP).
  • Execute and organize entity filings for the Company.
  • Assist People Operations sub-set teams with administrative tasks such as background checks, systems maintenance and other duties as assigned.
  • Assist with special projects as needed.

Qualifications:

  • 2+ years of HR Assistant/Coordinator experience.
  • Hands-on experience with an HRIS system- proficiency with ADP is a plus!
  • Familiarity with Google Suite: Gmail, Calendar, Docs, Sheets, etc.
  • Demonstrated operational excellence and a customer service mindset.
  • Excellent interpersonal skills, communication skills and attention to detail.
  • Strong business insight, judgment, team orientation and collaborative style.
  • Effective project management skills.
  • Ability to thrive in a face-paced environment with quickly changing business needs.
  • Demonstrated analytical skills with the ability to learn new systems or applications.
